3. Where information comes from
We collect information directly from you, from someone ordering or enquiring on your behalf, from your interactions with our website, and from service providers involved in payment, delivery, identity or fraud checks. Trade information may also be verified using public professional or company sources.
4. Who we share information with
We share only what is reasonably needed with manufacturers and suppliers, delivery and installation partners, warehouses, payment and fraud providers, ecommerce and hosting providers, customer-support and AI service providers, analytics and marketing platforms, professional advisers, insurers, authorities and regulators.
Some made-to-order suppliers need customer name, delivery region, specifications or project information. Delivery partners need contact and access information. Providers act under contracts or their own legal responsibilities, as appropriate.
If our business or assets are reorganised, financed or sold, information may be shared with advisers and a prospective or actual buyer subject to appropriate safeguards.
5. International transfers
Some suppliers and service providers may process information outside the United Kingdom, including in Türkiye, the European Economic Area or other locations. Where UK data-protection law requires it, we use an adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard. You may ask for information about the relevant safeguard.
6. Retention
We keep information only as long as reasonably needed for the purpose, legal obligations and claims. Order, tax and transaction records are generally retained for six years after the relevant transaction or relationship, and longer where required for a dispute or warranty. Warranty records may be kept for the warranty period plus a reasonable claims period.
Unsuccessful enquiries and trade applications are retained for an appropriate shorter period unless a legal or business reason requires more. Marketing records are kept until you opt out and for a limited suppression record afterwards so we respect the opt-out. Security and analytics retention varies by tool and will be configured to the shortest useful period.
7. Marketing
Newsletter subscriptions use clear consent unless another lawful route applies. Consent is optional and may be withdrawn at any time using the unsubscribe link or Contact page. The 5% newsletter offer is governed by the offer terms and is not cumulative with the first-order or Trade discount.
We may market similar products to an existing customer using the statutory soft opt-in only where its conditions are met and an easy opt-out was offered when details were collected and in every message. Business marketing is sent only where permitted, with an opt-out. We do not sell personal information for money.
8. Cookies and similar technologies
Strictly necessary cookies operate the website, basket, checkout, security and preferences and do not require consent where the legal exemption applies. Analytics, advertising, social-media and other non-essential technologies are used only after the required consent.
Before any non-essential cookies or similar tracking are enabled, we will provide appropriate consent choices and explain the categories. Once in use, cookie settings will allow visitors to accept, reject or change non-essential choices, and an up-to-date inventory will identify providers, purposes and durations. Browser controls may also block cookies, but essential functions may be affected.
9. AI chat and Personal Shopping Helper
If we introduce AI-assisted customer chat, we will identify the feature clearly and explain how messages and personal information are processed before it is used. Until then, please use our Contact page for customer support.
Do not enter payment-card details, passwords, health information or other unnecessary sensitive data. AI responses are general assistance, not a binding product specification, professional design advice or a decision on legal rights. Important order, return, warranty and suitability decisions can be reviewed by a person.
We do not rely solely on automated processing to make decisions that produce legal or similarly significant effects about customers. Where a recommendation is personalised, you remain responsible for checking dimensions, materials, access and the confirmed order specification.
10. Security
We use proportionate technical and organisational measures such as access control, provider due diligence, secure transmission and backups. No online system is completely secure. If a personal-data breach creates a legal notification obligation, we will notify the relevant authority and affected individuals as required.
11. Your rights
- Ask for access to your personal information and a copy of it.
- Ask for inaccurate information to be corrected.
- Ask for deletion or restriction where legal conditions apply.
- Object to processing based on legitimate interests and object at any time to direct marketing.
- Receive certain information in a portable format.
- Withdraw consent at any time without affecting earlier lawful processing.
- Complain to the Information Commissioner’s Office at ico.org.uk, while giving us the opportunity to resolve the concern first if you wish.
12. Children and third-party links
Our website and products are not directed to children under 18 and we do not knowingly create customer accounts for them. The website may link to third-party sites with their own privacy practices; VIVERE is not responsible for those sites.
13. Changes to this policy
We may update this policy when our services, suppliers or law change. The current version and effective date will be published on the website. We will provide additional notice where a change materially affects how we use information.
